Got a corrective action notice? Here’s how to reply.

You don’t need an account or a subscription. Open the notice PDF, give a status and a short response for each issue, add an after-photo, and send the PDF back. You can do it free in the Cirqify app, in Adobe Acrobat Reader, or in Preview on a Mac.

What’s in the notice

Each issue in the PDF shows the photo with the concern circled in red, a description of the condition, the corrective action requested, the references it relates to, and a response due date. At the bottom of each issue is a Corrective action response section for you to fill in.

For every issue, the response asks for:

FieldWhat to enter
StatusCompleted, In progress, Not completed, or Extension requested
ResponseWhat you did, or what you will do and by when
After-photoOne clear photo of the corrected condition, taken from about the same spot as the original

Option 1: Reply in Cirqify (free)

Best if you want to add photos easily or the notice covers several issues.

  1. Install Cirqify from the App Store. Replying never requires a subscription.
  2. Open the notice PDF and share it to Cirqify, or import it from inside the app.
  3. For each issue, set the status, type your response, and add an after-photo straight from your camera.
  4. Send the reply. We create the reply PDF and hand it to Mail, Messages or any app you choose.

Option 2: Reply in Adobe Acrobat Reader

Works on iPhone, iPad, Android, Mac and Windows with the free Acrobat Reader app.

  1. Open the PDF in Acrobat Reader.
  2. Fill in the status and response fields for each issue.
  3. Tap the after-photo field and choose a photo of the fix.
  4. Save, then send the PDF back to the sender by email or text.

Option 3: Reply in Preview on a Mac

Preview can fill in the form’s text fields, but it can’t place photos into the form.

  1. Open the PDF in Preview and fill in the status and response fields.
  2. Save the PDF and send it back to the sender.
  3. Send your after-photos separately by email or text. The sender can add them to each issue in Cirqify.

What happens after you reply

The sender imports your reply PDF into Cirqify. Your status, notes and photos are filed under the matching issue automatically, even if one PDF answers many issues. They then check the work on site and mark the issue resolved, or follow up with you if something still needs attention.

Tip: Send back the same PDF you received, filled in. That’s how we match each answer to its issue.
